Alpine Wonder Treks: Booking Terms & Conditions

Welcome to Alpine Wonder Treks and Expedition, your trusted adventure partner for trekking in Nepal and Himalayan adventure tours. 

These Terms and Conditions define the legal agreement between you (referred to as “the Client,” “you,” or “your”) and Alpine Wonder Treks (“we,” “us,” “our,” or “Alpine Wonders”). 

By booking a trekking package, guided expedition, or custom Nepal adventure with us, you confirm that you have read, understood, and agreed to these terms in full. These terms are designed to ensure a smooth, transparent, and safe experience for all travellers embarking on our carefully crafted Himalayan journeys. 

Please read them thoroughly before finalising your booking.

1. How to Book Your Trek

You can book your trek with Alpine Wonder Treks through our website, email, phone (+977 9851207545), or official social media channels.

To secure your booking, the lead traveller must complete our booking form and submit a valid copy of the passport, passport-sized photos, and travel document details. Travellers under 18 years must have the form signed by a parent or legal guardian.

Your booking becomes official only after we send you written confirmation (by email, message, or letter), which will be done after we receive your deposit payment. (Please note that automated online acknowledgements do not confirm a booking.)

Kindly review all booking documents and invoices upon receipt and notify us of any discrepancies immediately.

For last-minute bookings (1–3 days prior to departure), we accept Nepal trips only, subject to availability, and with no guarantee in case of non-availability.

2.Payment Terms & Deposit

  • For all Nepal trips, a non-refundable deposit of 30% of the total trip cost is required at the time of booking.
  • The remaining balance must be paid between 1 and 3 days prior to your scheduled departure.
  • For Bhutan, Tibet, and India tours, a 50% deposit is required at booking, with the final balance due at least 20 days before departure.

If final payment is not received by the due date, we reserve the right to cancel your booking. Standard cancellation fees (outlined in Section 7) will apply.

3. What Your Trip Price Includes

Your trip price covers all items clearly outlined in your chosen itinerary. Typically, this includes accommodation, meals, in-country transportation, and guiding services.

Excluded items generally include:

  • International flights
  • Visas
  • Travel insurance
  • Vaccinations
  • Personal expenses
  • Trekking equipment (unless otherwise specified)

We reserve the right to correct any pricing errors prior to trip confirmation and will notify you of any changes. If post-confirmation price adjustments are required due to taxes, exchange rates, or transportation cost fluctuations, you may choose to accept the change or select an alternative trip.

4. Travel Insurance Requirement

Comprehensive travel insurance is mandatory for all Alpine Wonder Treks participants.

Your insurance must cover:

  • Trip cancellation
  • Personal belongings
  • Emergency medical evacuation (including helicopter evacuation where required)

You must provide us with your insurance details (policy number and emergency contact) before your trip commences. Failure to do so may limit the assistance we can provide in emergencies.

We will not be held responsible for lost, delayed, or damaged luggage; consider purchasing additional baggage insurance.

5. Health & Fitness Requirements

Before booking, please inform us of any pre-existing medical conditions that may affect your ability to participate in trekking or adventure travel.

We are happy to help you choose a trip that matches your fitness level and health status. However, providing incomplete or false medical information may result in your booking being cancelled or your participation being discontinued (cancellation fees will apply).

Consequences of failure to mention any ongoing or past condition leading to health and other issues during or after the expedition are solely vested in the climber. 

6. Special Requests

If you have any special requests (such as dietary needs, room preferences, or equipment hire), please inform us at the time of booking. While we will make every reasonable effort to accommodate these requests, we cannot guarantee them, and additional fees may apply.

7. Cancellation by the Client

  • Deposits are non-refundable and non-transferable unless we are required to cancel your trip due to government restrictions or force majeure, in which case you will receive a full deposit refund.
  • No refunds are provided for trips once they have commenced and travel insurance is strongly recommended.

To cancel a booking, you must submit a written request (via email or social media message).

8. Postponement Policy

If you are unable to travel due to valid reasons, we may allow you to postpone your trip within 12 months of the original departure date, subject to availability. At our discretion, cancellation charges may be credited towards your future trip. Your travel insurance may also cover cancellation-related costs.

9. Transferring Your Booking

You may transfer your booking to another person provided they meet the trip’s requirements.

You must notify us in writing at least 7 days prior to the scheduled departure. All outstanding payments must be settled before the transfer is processed.

10. Changes to Your Booking

We aim to accommodate any changes to your confirmed trip when possible. Depending on the nature of the change, additional fees may apply.

Date changes within the postponement period outlined in Section 8 will not incur a fee. Changes made outside this period may be treated as a cancellation.

We will notify you in advance if your requested changes affect itinerary costs (such as accommodation upgrades or route changes).

11. Itinerary Adjustments

All itineraries serve as general guides only. Trekking in Nepal and other Himalayan regions often involves factors beyond our control (weather, terrain, political situations).

We will do our utmost to follow your confirmed itinerary but reserve the right to adjust it if necessary. Any additional costs incurred will be discussed with you prior to implementation.

12. Cancellation or Changes by Alpine Wonder Treks

We may cancel or modify your booking due to unforeseen circumstances (e.g. government restrictions, natural disasters) or if minimum booking requirements are not met.

If this occurs, we will offer you the following options:

  • Accept the revised trip.
  • Transfer your booking to an alternative trip of equal or greater value (with price adjustments agreed upon).
  • A full refund.

We are not responsible for cancellations due to client non-compliance or external flight delays/cancellations (such as weather-related disruptions). In such instances, you will be responsible for additional costs.

13. Our Liability

We are committed to delivering safe, enjoyable trekking and adventure travel experiences.

Alpine Wonder Treks accepts responsibility for arrangements made under our direct control. We are not liable for:

  • Losses caused by you or third parties.
  • Events outside our control (force majeure).

Our liability does not extend to indirect or consequential losses.

14. Passport & Visa Responsibility

It is your responsibility to ensure your passport is valid (at least 6 months from the return date) and to secure all necessary visas.

  • Nepal visas are available on arrival.
  • Bhutan and Tibet visas are arranged by us unless otherwise specified.
  • Visa fees are not included unless clearly stated.

15. Damage to Property

You are responsible for any damage you cause to property or equipment provided during the trip. If you damage hired equipment, you will be required to pay compensation.

16. Early Departure

If you choose to leave your trip early, you will be responsible for all resulting costs (staff wages, transportation, accommodation, communications).

Alpine Wonder Treks will not cover these costs; your travel insurance may provide reimbursement.

17.Helicopter Evacuation

In case of a medical emergency requiring helicopter evacuation:

  • Our staff will coordinate with your insurance company to arrange the evacuation.
  • You are responsible for all associated costs (flight charges, admin fees, communication, staff wages).
  • A parent or guardian must accompany minors in medical evacuation cases

18. Complaints Process

If you experience an issue during your trip, please inform your guide or local agent immediately so we can resolve it.

If you are not satisfied with the resolution, you must submit a written complaint to us as soon as possible after your trip.

19. Client Conduct

We expect all travellers to act respectfully towards fellow trekkers, staff, local communities, and the environment.

Alpine Wonder Treks reserves the right to remove any participant from a trip without refund if their behaviour is deemed unsafe, disruptive, abusive, or illegal, or if it negatively impacts the experience of others or the integrity of the trip.

20. Governing Law & Jurisdiction

These Terms & Conditions are governed by and construed in accordance with the laws of Nepal. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of Nepal.
